Admin View
The admin view is available to users with the Abstracts - Admin policy. It shows every submission regardless of review status.
The submissions table
| Column | Description |
|---|---|
| Status | Current status of the submission — click to change |
| Reviewed | Number of reviews collected / required, with a tooltip showing each reviewer's name |
| Avg Score | Average score across all reviewers |
| Category | Scientific category (filterable) |
| Title | Abstract title |
| Date | Submission date |
Filtering
- Search — filter by title keyword
- Status — filter by submission status
- Category — filter by scientific category
- Page size — choose 10, 25, 100, or 1000 rows per page
Viewing a submission
Click any row to open the submission modal. This shows:
- Category and Title — read only
- Abstract body — full text, read only
- Authors — list with editable Title, Name, and Institution fields
- Keywords — shown as tags, read only
- Figures — any supporting images and their reference labels
- Conflict of Interest Declaration — whether a conflict was declared, and the disclosure text if so
- Average Score — read only, calculated from reviewers' overall scores
- Reviewer list — each reviewer, their overall score (or "Assigned — not yet reviewed" if they haven't scored it yet), and their comments. If the congress uses a custom grading system, each reviewer's card also shows a per-criterion breakdown — the rating and score they gave for each criterion.
Changing submission status
Click the Status badge in the table directly, or open the submission modal. Available statuses:
| Status | Meaning |
|---|---|
| Submitted | Received, not yet reviewed |
| Pending Review | In the review queue |
| Invited | Author has been invited to present |
| Accepted | Abstract accepted for the program |
| Reviewed | Has the required number of reviews |
| Waiting List | Conditionally accepted, pending space |
| Rejected | Not accepted |
Score aggregation
With a custom grading system, a reviewer's overall score for a submission is calculated from their per-criterion ratings using the congress's configured aggregation method:
| Method | Calculation |
|---|---|
| Sum | Total of all criterion scores |
| Average | Average of all criterion scores, weighted by each criterion's weight if set |
| Max | Highest single criterion score |
| Min | Lowest single criterion score |
The Avg Score shown in the submissions table and submission modal is then the average of all reviewers' overall scores for that submission.
Metrics
Users with the Abstracts - Metrics policy see an aggregate statistics view instead of the submissions table. This shows totals by status, category, and review progress — useful for progress reporting to the scientific committee.
