Schedule Planner
Using the visual schedule planner to build the congress program.
Schedule Planner
The Schedule Planner is a visual grid editor for building the congress program day by day. It requires the Schedule - Editor policy.
Layout
The planner displays as a grid:
- Columns represent rooms in the congress venue
- Rows represent time slots (subdivided by 15 or 30 minutes depending on congress settings)
- Cards in the grid represent sessions or breaks placed at that time in that room
Selecting a day and schedule
At the top of the planner you can select:
- Day — each congress day has its own tab
- Schedule — a day can have multiple schedules. Select the one you want to edit from the dropdown
Adding a session
Click an empty cell in the grid to add a new item at that time and room. A modal will open where you can configure:
- Type — Session or Break
- Title
- Start and end time
- Room — pre-filled from the column you clicked
- Scientific tags — used for colour coding
Moving items
Drag a card to a different time slot or room to move it. The card will snap to the grid.
Sessions vs breaks
- Sessions are colour-coded by their scientific tag and show the session title
- Breaks are shown in yellow and show the break name (e.g. "Coffee Break", "Lunch")
Rooms
Rooms are defined at the venue level. If a room is missing from the grid, it needs to be added to the venue in the Admin Dashboard. Contact your administrator.
Tips
- Use the Section detail view (click a session card) to manage the individual events and speaker assignments within a session
- The planner only shows the top-level schedule — use Section view to go deeper
- Changes save immediately — there is no draft mode in the planner
